Privacy Policy

This policy explains what personal data wardogsservers.com collects, why, and what your rights are. The data controller is Kylian Bos, KvK 42028557, established in Utrecht, the Netherlands, reachable at kylian.bos@gmail.com.

1. What we collect and why

  • Account data (email address, display name, password hash, optional Discord account link): to create and secure your account. Legal basis: performance of a contract.
  • Billing data (payment method, billing country, VAT number if provided, invoice history): processed by Stripe on our behalf to charge subscriptions and comply with tax law. We never see or store your full card number. Legal basis: contract and legal obligation.
  • Service data (your servers, their names and settings, console commands you send, action history): to provide and secure the hosting service. Legal basis: contract.
  • Technical logs (IP addresses, request logs): to keep the platform secure, prevent abuse and debug problems. Legal basis: legitimate interest. Retention: up to 90 days.
  • Analytics (Google Analytics, only after you accept the cookie banner): to understand how the site is used. Legal basis: consent, which you can withdraw by clearing the site's cookies.

2. Who processes data for us

  • Stripe (payments, tax calculation)
  • OVHcloud (servers and hosting, EU datacenters)
  • Resend (transactional email, EU region)
  • Hetzner (DNS)
  • Google (analytics, only with your consent)
  • Discord (only if you choose to log in with Discord)

We do not sell personal data, and we do not share it with anyone else unless the law requires it.

3. Game server data

Whatever players do on your rented server (chat, player names, game data) is stored inside your server and controlled by you as the server owner. We only access it to operate the service (backups, migrations, support you request).

4. Retention

  • Account data: as long as your account exists.
  • Server data: 14 days after your subscription ends, then permanently deleted.
  • Invoices and payment records: 7 years (Dutch tax law).
  • Technical logs: up to 90 days.

5. Cookies

We use strictly necessary cookies for login sessions (no consent needed) and one analytics cookie from Google Analytics, which is only set after you click Accept in the cookie banner. Declining changes nothing about how the site works.

6. Your rights

Under the GDPR you can ask us to access, correct, delete or export your personal data, and you can object to or restrict processing. Email us and we will respond within 30 days. You can also complain to the Dutch Data Protection Authority (Autoriteit Persoonsgegevens).

7. Security

Data is encrypted in transit (TLS), passwords are hashed, access to production systems is restricted and logged, and we make daily encrypted backups. Two-factor authentication is available for your account and we recommend enabling it.

8. Changes

If this policy changes materially we will notify you by email. The latest version always lives at this address.
